How to build a traceable maritime warranty claim dossier
A practical structure for connecting coverage, failure context, technical evidence, communication, and decisions in one warranty record.
7 min read
A strong warranty claim is not a large folder of files. It is a coherent technical narrative that proves coverage, identifies the asset, explains the event, and preserves every decision.
01
Start with coverage and identity
Confirm the warranty type, coverage period, component hierarchy, serial number, manufacturer, supplier, vessel, and contractual reference before discussing the failure.
- Coverage start and end dates
- Component and serial identification
- Manufacturer, supplier, and contract reference
- Covered and excluded conditions
02
Record the technical event at the source
The first record should preserve when, where, and under which operating conditions the issue was detected. Late reconstruction weakens the claim.
- Date, time, location, and operating condition
- Counters or running hours
- Photos, video, alarms, and measurements
- Initial action and people involved
03
Connect work and communication
Every inspection, Job, part replacement, message, authorization, and expense should remain linked to the same request. This makes ownership and chronology visible.
04
Close with an auditable decision
Record who analyzed the claim, what evidence was considered, the decision, any conditions, and the final resolution. Preserve the rejected or superseded versions as part of the audit trail.
